Data Control – Modify Address

What’s new – Aug 10, 2023

While your email security is quintessential to Sophos Email, we in the product team are also keenly listening to your requests for improvements to the management of message flow. Towards that goal, we have released a new feature in Data Control that gives you the ability to modify an email address to a different one and to copy email to another one. We are confident that this new capability will make day to day management of messages in the flow easier for the email admin. Incorporated with the flexibility of policy framework, Data Control gives you fine control on which addresses of which message you want to modify or even rewrite completely.

How to configure

As shown in the screenshot below, for any Data Control policy rule, you can select in Choose Action the option to Modify Address. Under Modify Address you can choose from one or more of the following options:

  1. To – If you choose this option, the email will not be sent to the original recipient rather would be sent to the address selected by you. Additionally, you can choose the Envelope Only option, in which case the original header address of the email will be retained and only the envelope address will be overwritten.
  2. CC – If you choose this option, the email will be sent to the original recipient and a copy will be sent to the address selected by you. The original recipient will see the address selected by you in the CC of the email.
  3. BCC – If you choose this option, the email will be sent to the original recipient and a blind copy will be sent to the address selected by you. The original recipient will not see the address selected by you in the BCC of the email.



Data Control report

As shown in the screenshot below, the Message History captures the details of the Data Control policy and the rule applied to a message.
