Portal encryption custom branding and custom headers

What’s new – Feb 18, 2025

The product management team of Sophos Email has its ears to the ground constantly listening to customer and partner feedback. Addressing your feedback, we have released enhancements to the encryption feature in our product that makes it easier for you to customize encrypted messages to meet your needs.

  • Custom Branding Online Form – This enhancement allows you to custom brand your encryption portal and encrypted messages. You can also choose the administrators to whom you want to grant access to the administration portal and customize sender and recipient features. Custom branding requires a portal encryption license.
  • Custom Headers – The custom headers help you control the way encryption is applied to your message. This enhancement is available to all Sophos Email customers.

If you do not currently have a portal encryption license, please contact your trusted partner or Sophos account manager to purchase the necessary license.

Custom Branding Online Form

If you have a portal encryption license, you can now apply for custom branding of encryption portal and encrypted messages, by filling in a form that is available under Encryption Settings, as shown in the screenshot below.

Note: The submit button is enabled only after all the mandatory fields are filled up in the form.

Custom Headers

You can use a rule in Data Control policy to add the following headers to change the way the encryption is applied to the messages that match the rule's criteria.

  • Portal encryption without recipient authentication – The recipient will receive a link to portal-encrypted email that will not require authentication by recipient to view the message, if this header is set to true. To do so use the header X-SophosEmailEncrypt-NoAuth.

  • Expiry period – You can set a message expiry period up to the maximum set in your account. The default maximum expiry period is 30 days, which you may have modified as part of the custom branding of your account. Apart from the default maximum period of 30 days, you can choose to expire the message today, after 5 days, after a week, or after two weeks using the header, X-SophosEmailEncrypt-ExpiryPeriod. In the case of Push Encryption, the expiry period applies only to the registration message.

  • Sent notification – The sender will receive a notification when the encrypted email is sent to the recipient, if this header is set to true. You need to use the header, X-SophosEmailEncrypt-SendNotification in this case.

  • Read notification – The sender will receive a notification when the encrypted email is read by the recipient, if this header is set to true. In the case of Push Encryption, the read notification is only sent for the registration message. You need to use the header, X-SophosEmailEncrypt-ReadNotification in this case.

To learn more about these headers, refer the documentation here.
